We are looking for an experienced Recruitment Administration Specialist with French to join a dedicated team supporting a leading global organisation within the financial services sector.
Our client operates across multiple international markets and has a large, diverse workforce, creating a dynamic recruitment environment with a strong focus on delivering consistent, high-quality hiring experiences across the business.
This is a fast-paced coordination role with a strong focus on interview scheduling, stakeholder management and recruitment administration. You’ll support recruitment processes involving multiple stakeholders, manage changing priorities and scheduling requirements, and help ensure a smooth experience for candidates and Hiring Managers throughout the process.

Key Accountabilities
- Coordinate complex interview scheduling processes, including multi-stage and panel-based interviews involving multiple stakeholders.
- Proactively manage a high volume of scheduling changes and rescheduling requests, ensuring candidates and stakeholders remain informed throughout the process.
- Coordinate professional assessments and tests as part of the recruitment process, including supervised and unsupervised assessments where required.
- Support contract preparation and other recruitment administration activities.
- Support requisition dispatching, workload management and allocation of activities across the team.
- Effectively prioritise competing and changing requirements, ensuring business-critical activities are progressed in a timely manner.
- Build and maintain strong working relationships with candidates, recruiters and key stakeholders, providing clear and timely communication throughout the recruitment process.
- Maintain accurate recruitment data and ensure activities are completed in line with agreed processes and governance requirements.
- Compile weekly, monthly and quarterly reports as required.
- Support process governance, documentation, manuals and training materials.
- Provide ongoing operational support to candidates and recruitment teams.
Skills & Requirements
- Previous experience supporting interview scheduling and recruitment coordination processes is required.
- Experience managing complex interview arrangements involving multiple interviewers, stakeholders and/or panel interviews would be highly beneficial.
- Experience supporting contract preparation and/or offer management processes is desirable.
- Strong ability to prioritise and manage multiple activities simultaneously in a fast-paced and changing environment.
- High proficiency in English & French, both verbal and written.
- Experience working with recruitment systems, such as Workday, with a strong focus on data accuracy and integrity.
- Strong stakeholder and customer-service mindset, with a proactive and solutions-focused approach.
- Excellent attention to detail, communication, organisational and problem-solving skills.
- Confidence managing last-minute changes and adapting priorities while maintaining a high-quality candidate and stakeholder experience.
- Ability to work effectively both independently and as part of a dedicated recruitment team.
